Visual R&B IMS

Enhancements

Since the introduction of Visual R&B IMS in mid-1999 (currently at Version 8), we’ve added over 2,400 enhancements for our system users. These enhancements were suggested by people who run Visual R&B IMS every day — in cities and counties across the U.S.A. These enhancements didn’t cost our users anything, as they are part of the annual software maintenance and support package.


2008 Enhancements

  • Added Asset Scheduling module which groups, under one interface, all assets you manage and enables scheduling by Date, Equipment, Employee and Task (inspection, grading, mowing, etc.). Previously each asset grouping had its own free-standing scheduling. With all asset scheduling under one module this enables much better utilization of employees and equipment resources.
  • Added visual graphic control so background colors, wallpaper selection, font colors and font sizes are user tunable features.
  • Added remote access (CrossLoop®) so a user, if so desired, can enable a remote session for technical assistance or training. This new interface sets up a temporary session that must be initiated by the user first, before a remote encrypted session is established with our tech support.

  • We’re also developing an Animal Control Module. This module tracks the animal control complaint, through pick up of animal, housing, medications, all associated costs, adoption procedure, owner warning notice, and court summons of the animal’s owner when necessary. This module will provide a complete history of the process with follow up and reporting for all phases of the process.

All current users are provided this module at no cost.

  • Added faster data, search, and read/write engine. Expect speed increases of over 15%+ on all functions, and as much as 50%+ on read/write disk accesses. It takes from one to five seconds for Visual R&B IMS to start, but that’s pretty fast! The print engine can spool up a hundred pages in less than sixty seconds on a reasonably fast machine!
  • Added a Send button on browse windows so you can, with a mouse click, or two, export selected data to these formats: Adobe Acrobat (PDF), Web Page (HTML), MS Excel (.XLS), MS Word (.DOC), or comma delimited (.CSV, a universal data conversion format). This enables you to send data to other programs so you may use your favorite software tools for further data analysis, etc.
  • Updated FEMA rate table.
  • Added three more utilities that save users thousands of key strokes.
  • Added a dozen, or more, new reports. There are now over 300 pre-written reports available at a mouse click.
July - August
  • Added a Send To button which enables the user to send user selected data to printer, or to data files in Adobe Acrobat (PDF), Web Page (HTML), MS Excel (XLS), MS Word (DOC) or comma delimited (CSV) formats. his enables a user, with just a few mouse clicks, to export data and send it anywhere, or, perform further analysis using any other software on the market (as long as that software can import data).
  • Added several other State Specific reports.
  • Added a Blanket Purchase Order module that works in concert with our existing Purchase Order module.
  • Added a balance and encumbrances tracking sub-system that works in conjunction with our Budgeting and Fund Accounting systems.
May - June
  • Our Visual Pavement Management module will be released at the end of May. The module provides a one-click visual of all roads and streets, and their last segment surveyed values. This graphic can be manipulated in several ways; i.e., drill downs, save as and change graph Type. This enables the user to better interpret the data visually, include in other documents, etc. Another one-click graphic provides a look at all segments surveyed on a particular road and street, and inclusive viewing of historic survey values all on one view. Options allow cycling sets and saving the image for inclusion in other documents, etc. The Pavement Management module is free to all register users, which is our corporate policy on all new modules and enhancements.
March - April
  • Added several new reports: Signs, Cost Accounting, and Fund Accounting.
  • We will introduce our Pavement (and Non-Pavement) Management Module in May, 2004. This new module will enable our users to, not only manage pavement and non-pavement assets, but, will provide the basis for capital forecasting and budgeting requirements. The new module will be visually oriented, as is our policy with all modules that lend themselves to graphical analysis.
February
  • Introduced Version 8 of Visual R&B IMS which includes a faster data, search and print engine, search and sort capabilities on any data column in any table; i.e., our users have 100% flexibility for finding any data, anywhere, instantly, with just a mouse click -- then enter a couple of characters from the keyboard of what they're looking for.
  • Added a couple of summary level graphs to provide more information while viewing the numbers - a picture is still worth a thousand numbers. Reformatted fuel efficiency mile-per-gallon and gallon-per-hour reports.
January
  • Added new GIS label editing tools and TABs to bridge, signs, culverts, other assets tables to aid instant access to certain data fields.

2003 Enhancements

October - November

Rewrote Inventory Transfer module as it was having problems on networks that had too much latency (slow reading and writing data due to time lags in network transmission and receipt of data). Optimized the Cost Accounting window - it now will open in less than a second with record counts in excess of one million (this of course, depends on the speed of your hardware - computer and network server). Added another Comp time factor for tracking of Comp Time Earned and Taken. Added a Budget Amendment module for tracking of amendments to your budget, after the Budget has been accepted. Added a couple of new sign reports and new sign lookup. Added Millennium MUTCD manual (Adobe Format). Optimized several reports for speed (You can spool up a hundred page report in under 10 seconds on a mid-range (1.7MHZ) machine).

This winter we’re writing the software side of the Minnesota Pavement Distress Manual. Many thanks go to Minnesota DOT for permitting us to utilize their manual. This manual is the best tool we've found to enable smaller Cities and Counties to classify and manage their hard surfaced roads, streets and highways. One advantage of our software application, is that you will have the option of capturing surface data rating criteria either, with, or without, the use of a laser equipped data capture system. Sampling methodology will also be employed for those who utilize manual methods. This should insure that, if you want to employ a rating system, no matter what your budget, you will be able to employ our software solution in in your City or County. As is our standing policy, all of our current system users will receive this module at no additional cost.

Equipment Cost/Maintenance History Screen

Added modification to the FY select on Equipment Cost/Maintenance history screen. Prior to this enhancement you could view all maintenance on a piece of equipment for the current fiscal year only - but, it was automatic; i.e. with no user intervention.

With this enhancement a user can view a complete equipment maintenance history during any fiscal year by simply entering that fiscal year and pressing the TAB key. This enhancement, as with nearly all enhancements, was suggested to us by one of our system users.

How was this enhancement accomplished? A Visual R&B IMS user called us, suggested the added functionality and the modification was available to all users in approximately five days! This is the methodology utilized on nearly all system enhancements. If you’ve had experience with other software vendors enhancements this process would take from three months to a year, several years, or never! Also, it didn’t cost any of our users anything.

Data Entry

Data entry is the task that normally takes the most user work time. We recently talked with one of our Visual R&B IMS who has cut daily data entry time to under one hour per day. This user is running the following modules:

  • Activity-based Cost Accounting

  • Inventory
  • Area Maintenance
  • Equipment
  • Project Accounting
  • Equipment
  • Personnel
  • Road/Streets Profiles
  • Equipment Work Orders

Their county has a population of around 15,000 and is just over 500 square miles in size. They‘ve been running R&B IMS for over seven years.

Our system runs with whatever data is entered; i.e., more detail data entered provides more thorough asset maintenance histories, operations history, cost history, budget history, and more thorough reporting, analysis and operations management capabilities.

July

Our Annual User Feedback Survey revealed the need for a couple of new modules that will be added later this calendar year. Both modules directly address the need to save keystrokes on data entry.

We’re planning to begin investigative work, next month, on a voice operated data entry module, which would enable our users to input data over a microphone interface, and/or, utilize the standard keyboard and/or mouse input. This will provide another option for data entry. You currently enter data with just the mouse, just the keyboard, or whatever combination of mouse and keyboard you choose. The Voice Data entry module will provide another option for data entry.

Also, in the area of data entry, we will be investigating a standardized form (this is somewhat complicated by having systems in 20+ states) for Cost Accounting and/or Fund Accounting entries, and, then scanning and OCR-ing of these documents. - thus eliminating nearly all manual (keyboard, mouse or voice) data entry.

As usual, both modules (not including the scanning and/or voice entry hardware should be under $1,000 for our current system users, if they elect to utilize these modules). The software cost for these modules will be our usual for current users; i.e., absolutely zero additional cost.

Made several modifications to Nebraska State Reports, Optimized an inventory audit utility, Updated Kansas State AR2 Utility and Added the Visual R&B IMS Configurator, which provides 2003 module level pricing.

April

Added Permitting Module for tracking and follow-up on all permits issued by your department. Documents the Application Process, People involved, Location(s) involved, Inspections and other relevant Permitting information. Added Estimated cost field for Preventive Maintenance procedures.

March

Added (in addition to existing Numeric Commodity Code module) and integrated an Alpha based Inventory Commodity Code. Now, you may use alpha or numeric commodity codes. Added and integrated an Equipment Parts Warranty File (for tracking individual parts under warranty after the part(s) are installed on your equipment). Added and integrated a multiple Pay Rate file to account for those employees who may work under more than one pay rate; i.e., on FEMA projects, when they work different jobs, etc.

Added posting shortcut so you can use the Purchase Order module (in Complete Accounting module), but, then post directly to Fund Accounting Lite, thereby saving many key strokes (over using the Complete Accounting module; which entails, after creating Purchase Orders, closing Receivers on items purchased when they are recevied, closing Accounts Payable when vendor is paid, and tracking payments through Accounts Payable history.

Added several elements and a Daily Chemical Spraying Report to the Weed Control Module which has GIS hooks so you can see (on GIS) where you have sprayed and the type of noxious weed. These (GIS) hooks mean you can visually track noxious weed propagation in your City or County.

February

Added several State Specific reports for GA, KS, NE, TX, FEMA Rates, and other generic reporting. Architected several shortcuts to save data entry keystrokes when purchasing items that will be used immediately, and post directly to the Cost Accounting module. Integrated keystroke saving routine between Purchase Orders in Accounting Module and Fund Accounting Purchases.

January

Added a Partial Units Converter for Material units applied. The Converter is primarily used when converting, for instance (in your Equipment Maintenance Shop) an inventory quantity of a barrel of oil (of any size), to the actual amount used in an (for instance) oil change; i.e, applying a 12 quarts of oil (or any quantity) when the inventory quantity is a a 55 gallon drum (or, any size drum, etc.) of oil.

Conversions from an inventory base quantity (barrels, drums, etc.) to the units used/applied (quarts, pints, pounds, ounces, etc.) are automatic; only one mouse click. You may also add your own local custom conversion basis to the Converter. It also automatically calculates the converted cost basis. We've also added two new Cost Analysis Reports; by Township and by Road/Street (Detail and Summary level).

  • Added another menu system called TearOff. It enables the user to create a menu system for their most often used menu selections. To create TearOff or add menu buttons, just hold down the Control key and select whatever drop-down menu selection desired. TearOff greatly simplifies overall Visual R&B IMS use because it enables the user to create menu buttons to their most often used system modules.
  • Also added are a new material filter on the instant Equipment Maintenance lookup window, a new suite of Equipment Preventive Maintenance Reports, a TAB for subsetting Sold (but still on the books) equipment, a new Equipment Maintenance Report and modified PATHing for compatibility with WIN XP Service Pack 1 modifications.
  • Visual R&B IMS now has four user selected menus to simplify operations:
    • The Standard Windows Dropdown Menu
    • Executive Information System Menu for instant one click solutions
    • Main Menu for overall instant system navigation
    • TearOff (build it with one mouse click) for often used menu options

  • This month’s update includes a web page generator and export module (to ASCII and dBase formats) that summarizes road maintenance costs by twelve work tasks, by road/street where maintenance is performed and over a user selected date range. This utility enables our users to publish (with six mouse clicks!) a recap of road and bridge spending, by selected date range, and it creates an HTML web page for their web site.
September - November
  • Multi-equipment rates now enables you to define various (up to five per piece of equipment) configurations and rates.
  • A graphic calculator and optimizations of the miles/gallon and gallons/hour equipment calculator enables you to see the efficiency of each piece of equipment and compare groupings of equipment; i.e. all graders, etc.
  • Minnesota state reports should be added to the state-specific reporting module by year end.
August
  • We’ve added more capabilities to road/street profiles. One mouse click enables you to view a specific road/street or segment, plus all bridges, culverts, and signs along it. Additional mouse clicks enable you to see the entire cost maintenance history of an individual bridge, culvert, or sign located on a specific road, street or segment. The system works whether you have your roads/streets in total, segmented, or unsegmented.

  • Release of complete work order system. R&B IMS has previously run the lite version which required fewer keystrokes but created a one-line work order and utilized the copy key when closing out work orders to cost accounting. The complete work order module enables you to create a multi-line item work order and utilizes a check box for closing work order to cost accounting. R&B IMS now works with either work order system you choose to run.
June
  • Release 1.00 of GASB34 capital asset management module.
  • Later this summer we will be releasing a module to track vehicles and equipment MPG and HPG fuel usage. The module will chart fuel consumption for each vehicle and piece of equipment so a quick look will show you the vehicle or equipment that is not running efficiently. This module, as are all modules added, will not cost our current system user.

  • Our work order module enables you to use the work order module all the time, partially, or whenever you need it. In other words, the work order module works only when you want to use it; i.e. you're not locked in to using it 100% of the time.
  • Our new contracts management module is also included in the May upgrade.

  • New search and print utility that enables our users to search on any field by any factors and subset their data; then print it in any format.
