Cost Accounting

The prime metrics for activity-based cost accounting are labor, material and equipment. Contract progress payments are entered from the Fund Accounting module.

Data entry is very fast. One screen collects costs and management information on work time, equipment run-time, and material usage which automatically updates over a dozen different analysis areas. Fast data entry means you spend less time inputting data, so you have more time for information analysis and reporting.

Projects

Document, analyze and record all operations (labor, material, equipment hours, and costs) plus all purchases (contracts and materials) that comprise your project. After you define a project (this can be done with as little as whatever name you assign the project) all costs flow to their designated Project automatically - from data entry in cost or fund accounting. Automatic cost analysis “roll-ups” and graphical analysis is a mouse click away.

Work Orders

Two work order systems (work orders and recurring work orders) enable you to run the system the way you run your department. Work orders enable you to plan and control what work is to be accomplished in a “short” period of time. Recurring work orders are similar, but are for “longer periods” of time; i.e., a month, year, 5 years, etc. Use the appropriate work order system, or use neither one. It’s your choice - you’re not locked in to “one way to do an operation.”

Recurring Work Orders

The Recurring Work Order module enables you to set up a work order that may take a year (or other long period of time) to complete. This module works in conjunction with Projects, Cost Accounting, and Fund Accounting.

For example, if you survey a gravel road and estimate it will take 100 tons of base rock, 300 tons of gravel, 200 hours of trucking time, 120 hours of grader time, and another 100 hours of “other labor” time, you can create a Recurring Work Order to these specifications. As the labor, equipment and material are applied, the module automatically decreases the percentage, time, and cost to completion of the recurring work order. Reports can be run at any time for progress.

Complaints and Service Requests

Ah, that the world has no problems! The reality is that citizens call your department with requests to fill pot-holes, pick up animals on the road, install and maintain signage, etc ... and, this is in addition to the maintenance you do on your “normal” set of assets; i.e., roads/street, bridges, signs, etc. This module enables you to track any complaint or service request (from data/time logged through date/time resolved), assign it and collect costs to resolve it. Spawn a work order from a complaint with one mouse click.
